Post a journal entry

Post a multi-line debit and credit journal entry in the Advanced view, including lines in another currency, departments and projects.

6 min read

Open the journal form

In the Advanced view, choose Post entry on the Overview, or open the Journal page. The Post journal entry dialog opens.

Fill in the entry

  1. Note and date

Write a Note that explains the entry and set the Transaction date. The date decides which period the entry falls in.
  2. Add lines

For each line, pick an account and enter a debit or a credit — not both. Choose Add line for the next one.
  3. Another currency (optional)

A line can use a currency other than the base currency. Enter that line’s rate; the base-currency equivalent shows next to it.
  4. Departments and projects (optional)

Tag the line with a department and project. If the space requires it, revenue and expense lines must have a department.
  5. Check the balance

The status under the form shows Balanced or Out of balance. Total debits must equal total credits in the base currency before the entry can post.

Example: payroll with deductions

One entry with three lines: gross salary expense, income tax withheld (PPh 21) as a liability, and the net pay sent from the bank.

Staff salaries · September
AccountDebitCredit
Salary expense20,000,000.00—
PPh 21 payable—1,000,000.00
Cash at bank — BCA—19,000,000.00
20,000,000.0020,000,000.00
The tax amount is worked out in your payroll or tax software. Degresh Finance records the result in the ledger.

Example: paying in a foreign currency

Paying a USD 1,000 supplier bill at a rate of 16,000. The payable line is recorded in USD with its rate; the ledger balances in Rupiah.

Cash at bank — BCA—16,000,000.00

Items on a line

A line can carry Items (optional): a description, quantity and unit price. If the items don’t add up to the line amount, the form flags it before the entry posts.

Repeating a similar entry

Open an existing entry and choose Post similar. Its lines are copied and dated today — review before posting. For truly routine entries, use a recurring entry instead.

After posting

A posted entry updates account balances and reports right away. When approvals are on, it waits for another member with Maintain access or higher to approve it.

A posted entry can’t be edited. To fix one, read Correct an entry.
