Create a space
A space is a separate shared ledger. Create one space per legal entity, team or household. Choose Create a space, then follow its three steps:
Type
Personal for your own money, or Business for a team or company ledger.Details
Fill in Space name, Base currency, Time zone and Space language, then pick the Starter chart of accounts groups you want. Uncheck a group to skip it.Members
Invite teammates by email with their access level, or choose Skip for now.
Choose the base currency carefully
Choose a view
Each person picks their own view in each space. Simple view suits everyday recording without accounting terms. Advanced view adds Journal, Periods and Reports to the menu.
You can switch at any time without changing data. Read Simple vs Advanced for the full picture.
Set up accounts
The starter chart already holds the common accounts. Add what’s missing from the Accounts page:
- In the Simple view, choose Add account and pick what it’s for: cash, a bank account or e-wallet, a credit card, a loan, a receivable, or an expense category.
- In the Advanced view, choose Open an account and set its accounting type (Asset, Liability, Equity, Revenue, Expense), a parent account and an account code if you use one.
A parent account becomes a group that totals its sub-accounts. A group holds no entries itself; entries always go to the accounts under it.
Bring in opening balances
If you’re moving from another system, import opening balances from Excel on the Accounts page:
Download the template
Choose a Cutover date — the day you start keeping your books here. Accounts that don’t exist yet can be added as new rows in the template.Upload your file
Save it as .xlsx and upload it. Nothing is saved yet.Check the preview
Fix any rows marked as problems, then press Import. The balances are recorded as one opening entry at the very start of the cutover date.
Who can import opening balances?
Older transactions can be imported from the Transactions page with Import transactions, in the Simple layout (one row per transaction) or the Journal layout (several rows per entry).
Invite your team and set access
On the Members page, choose Invite member. Someone with an account joins right away; anyone else gets an email to sign up first. There are five access levels:
- Read — view ledgers and reports.
- Write — post entries and edit data.
- Maintain — manage accounts and budgets, and approve requests.
- Admin — manage members and settings.
- Owner — full control of the space.
Tick Scoped access to limit a member to specific accounts only.
Next steps
- Record a transaction with Quick add.
- Post a journal entry in the Advanced view.
- Close a period at month end.
